At Romah Quinceañeras, we are committed to providing a professional, organized, and memorable experience for every Quinceañera and her family. Our goal is to ensure that each celebration is well planned, enjoyable, and reflects the client's vision.

By booking our services, the client acknowledges that they have read, understood, and agree to the following policies.

 

Our Services

Services may include, depending on the selected package:

  • Event consultation and planning

  • Waltz choreography

  • Surprise Dance choreography

  • Rehearsal coordination

  • Event timeline preparation

  • Vendor coordination

  • Day-of event supervision

  • Additional planning services as outlined in the Service Agreement

Photography, videography, décor, entertainment, catering, transportation, or other third-party services are not included unless specifically listed in the client's Service Agreement.

 

Booking & Payments

A signed Service Agreement and the required deposit are necessary to reserve an event date.

  • Event dates are reserved on a first-come, first-served basis.

  • No date will be held without the required deposit.

  • Deposits are non-refundable because they reserve the event date and compensate for planning time.

  • Payments for services already performed are considered earned and are non-refundable.

  • The remaining balance must be paid according to the payment schedule outlined in the Service Agreement.

  • Final payment must be received before the event unless otherwise agreed in writing.

  • Romah Quinceañeras reserves the right to suspend rehearsals, planning, or event services if payments become overdue.

 

Cancellations

If the client cancels services for any reason:

  • The initial deposit is non-refundable.

  • Any planning, choreography, consultations, rehearsals, or coordination already completed will be billed and considered earned.

  • Any remaining unpaid balance for completed services becomes immediately due.

  • Any prepaid amount exceeding the value of services already completed may be refunded at the sole discretion of Romah Quinceañeras.

 

Event Rescheduling

If an event is postponed due to personal, family, financial, venue-related, weather-related, or other circumstances beyond the control of Romah Quinceañeras:

  • Services completed before the postponement remain non-refundable.

  • A new event date is subject to availability and cannot be guaranteed.

  • Additional planning meetings, rehearsals, choreography revisions, venue visits, or coordination resulting from the postponement may incur additional fees.

  • Events rescheduled into a future calendar year may be subject to current pricing.

 

Client Responsibilities

The client agrees to:

  • Provide accurate event information.

  • Notify Romah Quinceañeras promptly of any schedule or venue changes.

  • Attend rehearsals on time.

  • Ensure that all participants arrive prepared and ready to rehearse.

  • Communicate respectfully with staff.

  • Obtain cooperation from family members, court members, and other participants.

Delays caused by participants arriving late or unprepared may reduce rehearsal time and may require additional rehearsal sessions at additional cost.

 

Attendance & Rehearsal Policy

At ROMAH Quinceañeras, our goal is to provide every client with an exceptional choreography experience and a performance that reflects the professionalism, preparation, and quality standards of our company. Consistent attendance at scheduled rehearsals is essential to achieving this goal.

Attendance Expectations

Clients are expected to attend all scheduled rehearsals on time and prepared to participate.

If a client is unable to attend a rehearsal, ROMAH Quinceañeras should be notified as soon as reasonably possible. Absences due to illness, family emergencies, or other unforeseen circumstances will be evaluated on a case-by-case basis.

Missed Rehearsals

Repeated missed rehearsals may significantly affect the quality of the choreography, the preparation process, and the overall success of the performance.

If rehearsals are missed without reasonable notice or become excessive, ROMAH Quinceañeras may take one or more of the following actions, as deemed appropriate:

  • Provide reminders regarding the importance of regular attendance.

  • Discuss with the client and/or parent(s) or legal guardian(s) how missed rehearsals may affect the preparation schedule.

  • Recommend additional private rehearsals, subject to instructor availability and additional fees.

  • Modify the choreography to reflect the remaining preparation time.

  • Continue services with revised expectations based on the available rehearsal schedule.

  • Suspend or terminate services if continued participation would prevent ROMAH Quinceañeras from providing the level of quality and professionalism promised to the client.

Additional Rehearsals

Additional rehearsals requested as a result of repeated absences, insufficient preparation, or choreography revisions may be scheduled based on instructor availability and may be subject to additional fees.

Commitment to Quality

ROMAH Quinceañeras is committed to delivering performances that reflect the high standards of our company. When repeated absences or insufficient preparation significantly limit our ability to prepare for the event, we reserve the right to modify the choreography or discontinue services if necessary to preserve the quality of the final performance and uphold the professional standards of the ROMAH brand.

Refunds

Missed rehearsals do not qualify for refunds. Any refunds, if applicable, shall be governed by the terms outlined in the Service Agreement and the Cancellation Policy.

 

Studio Safety, Children & Property Damage

Parents and legal guardians are responsible for supervising their children before, during, and after rehearsals. Romah Quinceañeras does not provide childcare services.

For everyone's safety:

  • Running, roughhousing, climbing on furniture, or unsafe behavior is prohibited.

  • Studio equipment, mirrors, sound systems, decorations, and furnishings may not be used without permission.

  • Appropriate dance shoes and clothing should be worn during rehearsals.

The client accepts responsibility for any damage caused by themselves, family members, guests, or participants to studio property, equipment, furniture, mirrors, flooring, walls, doors, decorations, or other facilities.

Repair or replacement costs resulting from intentional or negligent damage may be charged to the client.

 

Injuries & Participation

Participation in dance rehearsals, choreography, lifts, and event activities involves physical movement and carries an inherent risk of injury.

By participating, clients and participants acknowledge these risks.

Clients, participants, parents, and legal guardians are responsible for determining whether each participant is physically able to safely participate.

Any medical condition, physical limitation, pregnancy, prior injury, disability, or other health concern that could affect participation must be disclosed before rehearsals begin.

Participants agree to:

  • Follow all safety instructions.

  • Use proper footwear.

  • Avoid unsafe behavior.

  • Immediately report any injury or discomfort.

To the fullest extent permitted by law, Romah Quinceañeras shall not be liable for injuries resulting from:

  • Failure to follow instructions

  • Horseplay or reckless behavior

  • Undisclosed medical conditions

  • Improper footwear or attire

  • Actions of other participants

  • Circumstances beyond our reasonable control

 

Vendor Coordination

When coordinating with third-party vendors, Romah Quinceañeras acts solely as a coordinator.

We are not responsible for the performance, quality of service, delays, cancellations, pricing, contracts, or actions of independent vendors hired by the client.

 

Delays & Circumstances Beyond Our Control

Romah Quinceañeras is not responsible for delays, interruptions, cancellations, or reduced services caused by circumstances beyond our reasonable control, including but not limited to:

  • Severe weather

  • Natural disasters

  • Power outages

  • Venue restrictions

  • Government orders

  • Emergencies

  • Illness

  • Transportation delays

  • Traffic accidents

  • Vendor delays

  • Equipment failures not caused by our negligence

  • Other unforeseen events

We will make every reasonable effort to minimize disruptions and continue providing services whenever reasonably possible.

 

Professional Conduct

Romah Quinceañeras is committed to maintaining a respectful and safe environment.

We reserve the right to suspend or terminate services without refund if any client, participant, family member, or guest engages in:

  • Abusive or threatening behavior

  • Harassment

  • Physical aggression

  • Illegal activity

  • Unsafe conduct

  • Repeated refusal to follow reasonable instructions

 

Limitation of Liability

To the fullest extent permitted by law, Romah Quinceañeras' total liability for any claim arising from the services provided shall not exceed the total amount actually paid by the client under the applicable Service Agreement.

Romah Quinceañeras shall not be liable for indirect, incidental, consequential, emotional, or special damages, including lost opportunities, disappointment, or expenses arising from circumstances beyond our reasonable control.

 

Media Release

Unless the client notifies Romah Quinceañeras in writing before the event, the client grants permission for photographs and videos taken during rehearsals and events to be used for promotional purposes, including:

  • Social media

  • Website

  • Printed marketing materials

  • Advertising

  • Portfolio displays

No personal contact information will ever be published without permission.

Clients may opt out of this media release by providing written notice before rehearsals or the event date.

 

Privacy

Romah Quinceañeras values the privacy of our clients and is committed to protecting personal information in accordance with applicable California law.

We may collect personal information such as names, addresses, telephone numbers, email addresses, event details, and payment information for the purpose of providing our services, communicating with clients, scheduling rehearsals and events, processing payments, fulfilling contractual obligations, and conducting normal business operations.

Personal information will not be sold or shared with third parties for marketing purposes. We may disclose information only when necessary to provide the requested services (such as coordinating with vendors authorized by the client), to process payments, to comply with legal obligations, or as otherwise permitted or required by law.

Romah Quinceañeras maintains reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, or disclosure. However, no method of electronic transmission or data storage is completely secure, and absolute security cannot be guaranteed.

Clients may request access to, correction of, or deletion of their personal information, subject to applicable legal requirements and our legitimate business obligations to retain certain records.

By booking our services, clients acknowledge that their personal information will be collected, used, and maintained as described in this Service Policy.

 

Agreement

By signing the Service Agreement and submitting the required deposit, the client acknowledges that they have read, understood, and agree to abide by this Service Policy.
